Sending a message to your squad
You can send certain types of message to your squad directly through Squaddle, for example to update members about an activity or chase outstanding payments. You'll find these as you create and manage your squad and its activities.
How messaging works
- Messages are sent by WhatsApp, email, or both at the same time, depending on each member's preference.
- All organisers, including squad owners and admins, can send messages to the squad.
- Custom messages show who sent them, e.g. "Anne Example says: ..."
- Members can't reply to custom messages, except with the standard responses via WhatsApp or email.
- Squaddle adds pre-populated content to some messages, so the character limit for your custom text varies by message type.
- Line breaks are always stripped out in WhatsApp.
- Emojis are fine. You do your thing. 😺
There are several types of message you can send via Squaddle:
New activity message
A custom message added to the end of a standard activity invitation. Your message is attached to the end of the invite, and is automatically sent to the entire squad.
Messages are always optional – Squaddle includes the essentials (time, date, location) by default and buttons for members to respond, so you only need to add a message if there's something extra worth flagging, e.g. a change of location or a request to bring something.
Activity update message
If you edit an activity by changing the name, location, date, or time, we'll automatically notify all members of the change. This is sent to everyone regardless of their status – 'In', 'Out', 'Reserves', and 'No response'.
It's not possible to add a custom message when you edit an activity – it simply resends the invitation with the updated information.
Existing activity message
A custom message for updating members after invitations have already gone out. These automatically include the standard invite message as well, e.g. "let the organiser know if you can make it" and buttons for members to respond.
For these, you can select recipients from a list – 'In', 'Reserves', 'No response'. You can't see which members fall into which category, but there's a count next to each one, e.g. 'In (2)'.
You might use this to nudge members who haven't replied yet to mark themselves 'In' or 'Out' so you can tell if an activity has enough players to go ahead.
Why can't I message people who are marked 'Out'?
We try to keep Squaddle messaging to the minimum to reduce unnecessary noise, so it's never possible to message someone who's replied 'Out'. If you want to encourage them to reconsider, we recommend you do that independently of Squaddle.
Outstanding payment reminder
A pre-populated message to ask members to settle outstanding payments. You can send these from the 'Payments' tab for your squad, where you'll find a 'Send payment reminders' button.
You can select recipients from a list of those with an outstanding payment, or message everyone at once. This sends a pre-filled message with a link to settle the total outstanding balance in one transaction – you can't send individual reminders for specific activities.
It's not possible to add a custom message to payment reminders – it simply includes a short prompt, and a payment link.
Cancellation message
If you cancel an activity, we'll automatically notify all members that the activity isn't going ahead. It will be sent to everyone on the squad regardless of their status for the specific activity – 'In', 'Out', 'Reserves', and 'No response'.
You can add an optional custom message during the cancellation process if you choose.
Team allocation message
If you select teams with Squaddle, we'll automatically notify members of who's been assigned to each team.
You can add an optional custom message once you've assigned the teams if you choose.
Can I send other types of message to my squad?
You can't send other messages via Squaddle. This is intentional – so that important squad updates are kept separate from the general chat, banter, and photos you likely already share elsewhere, and they don't get lost in the noise.
